Supplies, schedules & care

Prepare for your child’s routine, supplies, and care needs. Your approved schedule and current campus notices apply.

Arrival, breakfast & pickup

Regular hours at all sites: Monday–Friday, 8:30 AM–4:30 PM. Regular morning drop-off is 8:30–8:59 AM. Children arriving at 9:00 AM or later are marked absent and are not admitted unless a late arrival was approved in advance or a scheduled medical appointment is documented and coordinated with Cherubs. Obtain confirmation; a message alone does not approve late arrival.

Breakfast runs 8:30–9:00 AM. Feed your child before arrival if coming close to 9:00 AM. Infant feeding follows individual schedules.

Morning half-day pickup is by noon unless another schedule is approved. Regular afternoon pickup is 4:00–4:30 PM; collect your child by their scheduled end time. Coordinate pickups between noon and 3:00 PM in advance when possible to protect rest time. For urgent pickup, call or speak directly with staff.

Seattle only: Paid early care from 7:30 AM and late care until 5:30 PM require advance approval and a written fee agreement. Maximum daily care is 10 hours.

What to pack & label
  • At least two complete changes of clothing and weather-appropriate outdoor clothing.
  • Disposable diapers or pull-ups, wipes, and diaper disposal bags when needed.
  • Bottles, age-appropriate bedding, and other child-specific supplies requested by staff.
  • Label belongings, check the bag weekly, and replenish supplies.
  • Cherubs is nut-free. Obtain administration’s approval before packing any food from home.

Label bottles and food containers with your child’s first and last name and preparation date. Give filled bottles to staff for prompt refrigeration.

Blankets are only for children old enough to use them safely—never for infant sleep. Leave toys, electronics, jewelry, money, and irreplaceable items at home unless requested by a teacher. Discuss accommodation needs with administration.

A typical school day
  • 8:30–9:00 AM: Arrival, breakfast, greetings, and free choice. Drop-off ends at 8:59 AM.
  • 9:00–10:30 AM: Circle, centers, art, music, sensory exploration, and active play.
  • 10:30 AM–noon: Snack, small groups, active play, lunch, and care routines.
  • Noon–1:00 PM: Stories, music, and preparation for rest.
  • 1:00–3:00 PM: Rest and quiet choices.
  • 3:00–4:00 PM: Snack, stories, small groups, and active play.
  • 4:00–4:30 PM: Regular pickup.

Activities remain flexible for development, weather, and the group’s needs. Infants follow individual feeding and sleep routines. Children who do not sleep receive quiet activities.

Nut-free meals & food from home

Cherubs is a nut-free daycare. Do not bring peanuts, tree nuts, or foods containing them to school.

All food from home must be approved by administration before it is brought to school. This includes meals, snacks, birthday treats, and other celebration food. Advance review helps protect children with food allergies. Share ingredient and packaging information with administration for review; do not assume an item is approved because it is store-bought or labeled nut-free.

Cherubs ordinarily provides breakfast, a morning snack, lunch, and an afternoon snack. Ask your campus for the current menu.

Tell staff about allergies, intolerances, religious dietary needs, and medically necessary restrictions before care begins and whenever they change. Complete the required individual care or food plan and arrange any required medication and staff training.

Alternative meals or snacks from home require an approved written food plan for severe allergies or special dietary needs. Obtain administration’s approval before bringing food. Shared special-occasion food must also be approved in advance and must be store-bought or supplier-prepared; homemade food for sharing is not permitted. Approval does not replace a required individual care or food plan.

Infant care, rest & toilet learning

Before arriving with your infant, send Procare notes with the wake-up time, last diaper change, and time and details of the last feeding.

Share feeding, sleep, and comfort routines with staff. No soft objects, loose bedding, pillows, positioners, or weighted sleep items are placed in infant sleep equipment.

Toilet learning is coordinated with families and based on readiness. Children are not punished or shamed for accidents. Supply replacement clothing and discuss individual needs with staff.

Enrollment documents & getting to know your child

Before the first day, complete the applicable registration, emergency contacts, signed fee agreement, authorized pickup list, immunization documentation, and required permissions. Staff will identify any food-program paperwork, individual care plans, medication authorizations, training, or custody documents needed for your child.

Share your child’s interests, strengths, routines, home language, comforting words, and support needs privately with staff. Update important health, contact, custody, and pickup information promptly.

Longer or private conversations should be scheduled so teachers can maintain supervision. Families may request a meeting with the teacher, site leader, or owner.

New family tips

Calmer drop-offs

A familiar routine and a warm handoff can help your child feel safe. Some tears are normal, and every child settles in at their own pace.

A simple goodbye routine

  1. Put belongings away and greet your child’s teacher.
  2. Offer a hug and acknowledge how your child feels.
  3. Say when you will return, using a familiar part of the day.
  4. Say goodbye and hand over to the teacher for comfort.

Try saying: “I love you. I’ll be back after afternoon snack. Your teacher will help you now. One hug, one wave—goodbye!”

Choose a return time that matches your actual pickup plan.
Before the first day
  • Ask your campus about visiting the classroom and meeting the teacher before starting.
  • Play “going to school,” read a story about preschool, and practice your goodbye.
  • Share your child’s interests, routines, and comfort strategies with staff.
  • Discuss any gradual transition with your campus so everyone follows the same plan.
Make mornings predictable

Follow a familiar getting-ready routine and allow time to arrive without rushing. Hunger, tiredness, and feeling unwell can make separation harder.

Give your child your full attention at goodbye. Use the same short ritual each day, after the settling-in routine agreed with your teacher.

When your child cries

Name the feeling gently: “You’re sad that I’m leaving. Your teacher is here to help.” A teacher can offer closeness, a familiar story, or a simple activity while your child settles.

Ask about a family photo or classroom-approved comfort item appropriate for your child’s age. Children can need comfort even when the goodbye routine is going well.

Say goodbye clearly, then check in with staff

Always say goodbye—avoid sneaking away. Explain when you will return in words your child understands, and keep that promise.

Repeatedly returning can restart a difficult goodbye. Agree with staff on how and when to request an update instead. Ask how your child accepted comfort and joined the day, as well as whether the tears stopped.

If drop-offs stay difficult

Talk with your teacher and director about what helps and what needs to change. There is no single settling-in deadline for every child.

If distress remains intense, worsens, or your child is struggling to adapt, discuss it with your child’s pediatrician as well.

Everyday information

Daily routines & policies

For full policies, read the all-sites handbook and request campus-specific information. Your director can help with questions about your family’s situation.

Attendance, absences & schedule changes

Use Procare to report absences and request late arrivals, medical-appointment arrangements, early pickups, or schedule changes as early as possible. Obtain approval when required. Give at least two weeks’ written notice of a planned vacation. For urgent matters, call the site or speak directly with staff. Your signed agreement and applicable subsidy rules govern charges and credits.

Illness & returning to care

Keep your child home or arrange prompt pickup when illness is contagious, prevents participation, requires more care than staff can safely provide, or meets the site’s Health Policy exclusion criteria. Ask staff for the full illness and return-to-care requirements. Medication and medical procedures require advance review and any required authorizations, care plans, labeling, and staff training. Do not send medication without arranging it with the site.

Arrival, sign-in & authorized pickup

An authorized adult must sign the child in and out at each actual arrival and departure using the approved Procare method or staff-directed backup process. Use your own assigned credentials. Only adults authorized in writing may collect your child; staff may request photo ID. Procare access alone does not authorize pickup. Arrange changes with staff and obtain confirmation.

Closures, holidays & school updates

Check Procare and school messages for holidays, events, planned closures, delays, and early dismissals. Seattle generally uses Seattle Public Schools as its weather reference, Auburn uses Auburn School District, and Kent uses Kent School District. Cherubs may make a different decision for site, road, utility, or staffing conditions. Follow the Cherubs notice for opening time and any adjusted drop-off cutoff, and maintain backup care.

Check Procare each day your child attends, enable available notifications, and read notices fully. Ask staff if a date is unclear or you need language or accessibility assistance or another communication method.

Forms, permissions & family information

Ask your director which forms apply to your child. Upload requested documents to Procare or email them to the school, including your child’s name and campus. Keep parent contacts, emergency contacts, authorized pickup people, and child information current in Procare. Tell staff about important changes and obtain confirmation for changes requiring approval.

Keep your family’s Procare information up to date

Review your family’s Procare information regularly and update it promptly whenever something changes:

  • Parent and guardian contacts: phone numbers, email addresses, and home address.
  • Emergency contacts and authorized pickup people: current names, phone numbers, and who is permitted to collect your child.
  • Child information: allergies, health conditions, medications, care needs, and other important changes.
  • Child’s profile photo: Add a clear, recent photo of your child’s face to their Procare profile and update it as they grow. Choose a photo of your child alone, without filters or anything covering their face. A current photo helps staff identify your child during daily care and emergencies. If you cannot add or change the photo, ask your campus for help.

Update the fields available in your parent account. If a field cannot be edited or you need help, contact your campus so staff can update the record.

Tell staff about important changes. New or removed pickup permissions, custody restrictions, allergies, medication, and care-plan changes need staff review and confirmation. Procare access alone does not authorize pickup. For urgent changes affecting today’s care or pickup, call the site or speak directly with staff.

Upload or email documents

You can upload requested documents to Procare or email them to the school at admin@cherubsnurseryschool.com. Include your child’s name and campus so staff can match the documents to the correct record.

Examples of documents to upload or email, when requested or applicable:

  • Certificate of Immunization Status (CIS): your child’s completed immunization record and updated versions.
  • Certificate of Exemption (COE): when applicable, for staff review.
  • Enrollment and emergency-contact forms: completed forms and requested updates.
  • Authorized pickup forms: additions or changes requiring staff confirmation.
  • Permission forms: photography, walking trips, or other activities that apply to your child.
  • Allergy, food, and individual care plans: signed plans and supporting provider documents requested by the school.
  • Medication authorizations: requested forms and provider instructions for advance review.

Only submit documents that apply to your child or that staff request. If you cannot find the upload option, ask your campus for help. Let staff know about time-sensitive documents and confirm they have been received and reviewed.

An upload or email does not by itself approve a pickup change, medication, care plan, or schedule change. Complete any required authorization and obtain staff confirmation.

Daily updates, records & billing

Photos and activity updates are not continuous monitoring. Teachers may post after an activity; direct care and supervision take priority.

Upload requested records to Procare or email them to the school. Notify staff about important changes. A message or upload alone does not approve a pickup person, schedule change, medication, care plan, or absence credit.

Review invoices and receipts when enabled. An automatic payment setting or pending transaction does not confirm successful payment. Contact administration about errors or failed payments; your signed fee agreement governs payment arrangements.
